Welcome to the Clubhouse Online Implementation Guide

This guide outlines the process of building your ClubHouse Online website and provides details on each phase from start to finish.

Careful adherence to the requirements will ensure the best possible experience during implementation and with the resulting website.

Team Roles & Responsibilities

ClubHouse Online Coordinator's Responsibilities

  • Is your main Point of Contact for the project
  • Provides implementation timeline, requirements and instructions to set up your website
  • Hosts progress calls to answer your questions

Client's Responsibilities 

  • Identifies a project main Point of Contact to keep the team accountable
  • Provides the necessary requirements in a timely manner
  • Commits to the implementation schedule and due dates

Phase 1 – Kickoff Call

A meeting will be scheduled by the ClubHouse Online Project Coordinator to review:

  • Project Scope
  • High-level of Design Process
  • Anticipated Live Date
  • Implementation Process

Phase 2 – Project Plan Call

Based on the confirmed scope and desired live date, the ClubHouse Online Project Coordinator will present to you the Project Plan that covers:

  • Project Phases Breakdown
  • Required Tasks
  • Timeline & Critical Milestones

Phase 3 – Design

The ClubHouse Online Designer will work with you to build the website design based on your vision. The process is as follows:

  • Design Call
  • Sitemap Creation
  • Mockup Creation
  • Site Build
  • Iterations

Phase 4 – Installation

The ClubHouse Online installer will integrate the purchased online modules with the back-office software application. The process is as follows:

  • Ensure back-office system & modules are live
  • Complete Pre-install requirements
  • Schedule installation
  • Install & set up the integration

Phase 5 – Training

After the Installation and the completion of the Site Build, training for the online modules will be provided to you. Depending on the modules, the training will be a combination of:

  • 1-on-1 sessions
  • Live webinars
  • Self-training

Phase 6 – Go Live Preparation

During this phase of the project, the ClubHouse Online Project Coordinator will work with you to prepare for launching the new website.

  • Testing Modules
  • SSL Certificate
  • DKIM & SPF Configuration
  • Google Analytics (optional)

Phase 7 – Go Live

To go live with the website, the club will change the A-Record to point to the IP addresses provided by the ClubHouse Online Project Coordinator. 

Notes:

  • It is not recommended going live on Fridays, during the weekend or on a holiday.
  • Once the A-Record is changed, it may be instant or take up to 24-48 hours for the change to take effect.
